With CrewBrain, we dedicated ourselves years ago to optimizing and professionalizing processes in the event industry. A particular focus for us has always been on safety -whether when working with external staff or during the actual execution of work. That’s why we’re excited to present another important addition in this area in this update info: a training feature including learning assessment.
In addition to this new feature, we are also finally taking the new project and job dialog out of beta and making it available to all customers and users. We’d like to inform you about all further changes and enhancements in this blog post. As usual, the new version will be available to all customers starting tomorrow, Friday, October 16, 2026.

| Training with Learning Assessment Whether it’s a general safety briefing, compliance topics, or phishing awareness -there are many areas where employers should (and sometimes must) regularly train their employees. To make this even easier in the future, CrewBrain now offers a dedicated training module. | |
| Creating Trainings Trainings can be created and edited under Administration > Occupational Safety > Trainings. Each training consists of an introduction text and any number of documents – such as PDF files or videos. | Learning Assessment The learning assessment is conducted using questions that users must answer after completing the training. A pool of questions can be created for this purpose, and the system selects a predefined number of questions from this pool. At the end, users receive an evaluation and information on whether they have passed the training. |
| Multilingualism We know that many companies employ staff who speak different languages. For this reason, trainings can optionally be fully translated into any number of languages. |
| New Project and Job Dialog The new project and job dialog has been available as an open beta test for several months now, and we continue to appreciate all the feedback we still receive. From now on, the new dialog is available to all users in CrewBrain and can be activated under My Account > Settings. | ![]() |
| Project Overview The new dialog always displays the complete project or job structure. This eliminates the need for tedious switching between individual jobs, which previously caused many unnecessary clicks in the old dialog. | Planning Views The dialog offers many new views, where planning can always be done directly and live. For example, in the bar view, you can change employees’ scheduled times via drag & drop, and in the matrix view (the previous “staff plan”), much more information per employee is displayed. |
| Contracts All contracts are clearly displayed in their own view in the new dialog. This means you always have ANÜ documents as well as work contracts directly in view, without having to jump into individual jobs each time. | Try It Now Every user can activate the new project and job dialog for themselves under My Account > Settings. And if something is still missing in the new dialog, there’s always an option via a button in the header to open the job or project directly in the old dialog. |
| iCal Subscription The iCal subscription is one of the most used features in CrewBrain. Over time, we’ve collected several requests for this on our roadmap—and we’ve implemented them in the current version. | ![]() |
| Other People’s Leave When subscribing to other people’s leave, you can now individually select which people this applies to. This way, you can limit the amount of data received. | Sick Leave It is now also possible to subscribe to sick leave as a separate category. Here, too, you can choose whether to see only your own sick leave or also that of others (if you are authorized). |
| Content & Title The content and title of the appointments in the subscription were previously fixed. In the future, every user can choose from a list of possible options and also set the order individually. | Project Types Until now, filtering was only possible by job types. Now, project types can also be filtered in parallel. |
| Other Resources For each iCal subscription, you can specify which resource it refers to. This allows a user (with the appropriate permissions) to create subscriptions for other users as well as for vehicles or rooms. |
| Billing & Time Tracking As usual, we have made some adjustments in the area of billing & time tracking in this update. | ![]() |
| Rate Type per Category Until now, only one rate type (e.g., hourly wage or daily rate) could be set for each person or price list – this then applied to all categories. With the new update, the rate type can be stored for each category. This makes it possible for a person to receive a daily rate as a sound technician, but an hourly wage as a helper, for example. | Overtime for Daily Rates Overtime for daily rates was previously only billed per hour or per half hour. With the new version, it is now also possible to bill overtime in quarter-hour increments. |
| Mass Payout In the overview (via the “+” in the menu bar above), a mass payout option is now available. This allows, for example, payouts for mini-jobbers to be created in one step. The user simply enters the maximum amount, and the system calculates the correct payout amount for each person. | Expenses for Sub-Jobs Previously, expenses and additional benefits could be added per employee in the job, but this had to be done individually in each job or shift. In the future, an expense entry for all employees in all sub-jobs can be created directly in the project or main job. |
| Other Adjustments As usual, we have implemented many other major and minor optimizations in this version. | ![]() |
| Additional Languages In this version, we are adding three more languages: Dutch, Danish, and Polish. These complement the existing languages German, English, Spanish, French, Icelandic, Portuguese, and Swedish, making CrewBrain even more international. | Location Documents from Eventworx When syncing between Eventworx and CrewBrain, documents stored for a location in Eventworx can now also be transferred. This way, this information is also directly available in CrewBrain. |
| Permission for Reason of Absence For absences and vacation, it was previously only possible to grant rights for the category and reason together in user groups. With this update, we have split these permissions into two rights. This means that certain people can be given access to the absence category but not to the reason. | Future Travel Expense Reports There have been repeated requests to allow travel expense reports to be created in advance. We have removed this restriction in the current version, so travel expense reports can now be created ahead of time if needed. However, submitting such reports is only possible once the date is in the past. |
