Maintenance work on September 16 and 17, 2025

CrewBrain continues to grow steadily. This means that our infrastructure must also continue to grow in order to meet the daily demands of operation. For this reason, we will be carrying out extensive maintenance work during the night of September 16 to 17. During this time, CrewBrain will therefore be unavailable or only available to a limited extent.

What is being done?

As part of our maintenance work, we are migrating our central main server to new hardware. This also includes some of our customer accounts, which is why CrewBrain will be unavailable to some of our customers during the maintenance work.

Important: Change of IP address

As part of the maintenance work, the IP address of our main system will change. Please be sure to read the section β€œWhat should I be aware of?” if you currently use firewall permissions restricted to our IP addresses, for example for synchronization with rental management systems.

Which accounts are affected?

All accounts on our main system are directly affected. If the URL contains a region-specific subdomain (e.g. mycompany.eu2.crewbrain.com – here eu2), the account is not directly affected. However, even for accounts that are not directly affected, individual functions such as contract management may be restricted or unavailable during this period.

How long will the maintenance work take?

Maintenance work will begin on September 17 at 1 a.m. CEST (September 16 at 7 p.m. EST and 4 p.m. PDT). We expect our systems to be available again after one to two hours. However, due to the large amounts of data, the import of individual customer databases may take until mid-morning on September 17. We will provide information via system info and email as soon as the maintenance work is complete. We will also regularly update the current status of the migration at the end of this article.

To be on the safe side, please plan for the possibility that CrewBrain may not be available on the morning of September 17.

After importing the customer databases and completing maintenance work, the system may be slightly slower than usual. This is because the databases first need to optimize themselves, which can temporarily affect overall performance.

Is there an emergency scenario?

In the event that we encounter major problems after the migration on the morning of September 17 that cannot be resolved immediately, it will be possible to revert to the old system as it stood at 1 a.m. CEST on September 17.

Can I still access the system during maintenance work?

Our standby server is not affected by the maintenance work. The data as of September 16 at approximately 2 a.m. CEST will remain available on this system even during the maintenance work. Access is via the familiar user names using the URL mycompany.standby.crewbrain.com (mycompany should be replaced with your own subdomain).

What should I be aware of?

For CrewBrain users, the infrastructure changes are generally transparent. The IP address of our main server changes in the background, but users usually do not notice this at all thanks to appropriate redirects and forwarding. However, depending on the DNS server used, it may take some time for the new IP address to be used. Unfortunately, we have no influence on this.

Important: if you use synchronization with a locally operated rental management system such as Easyjob or Epirent, you may need to adjust your firewall settings. If access to our IP addresses is restricted, please ensure that the following IP addresses are allowed:

  • 85.13.146.111, 85.13.163.79 and 85.13.130.85 – Production
  • 38.242.139.92 – Standby

Please ensure that all IP addresses listed here are permanently whitelisted. Following the maintenance work we will update the existing server and also use it for customer accounts, meaning that this IP address will continue to be relevant.

The migration has not yet begun. However, we will share the current status here during the migration.
