Use CrewBrain smarter: With API & automation

The digital management of personnel, appointments and resources in the event industry often involves a lot of manual work. But there is an easier way – with the CrewBrain API! It makes it possible to seamlessly connect CrewBrain with other systems to automate processes and save valuable time.

But what exactly is an API – and what can you do with it?

What is the CrewBrain API?

An API (Application Programming Interface) is an interface through which different programs can “talk” to each other. The CrewBrain API is a so-called REST API, which means that it is based on modern web technologies and is easy to integrate.

The documentation for the API is available in every CrewBrain account, for example at: https://demo.crewbrain.com/api/v2. To obtain the API description that matches the current version of your own account, you should always use the API documentation for your own account. To do this, replace the subdomain (in this case “demo”) in the aforementioned URL with your own subdomain.

Many tasks can be automated with this interface, such as

  • Retrieve or update employee data
  • Create or manage assignments
  • Synchronize leave requests
  • Transferring absences
  • Read out information about projects or events

And the best thing is that you don’t need in-depth IT knowledge for many of these tasks, but can fall back on tools such as Microsoft Power Automate, Zapier or Make.

Practical applications – even without programming experience

Here are a few ideas on how you can make good use of the CrewBrain API:

🧾 1. Automatically transfer requests from your website to CrewBrain

Imagine a freelancer or customer fills out a form on your website – for example to request a project or apply as a technician. With the CrewBrain API, you can automatically transfer this request to the system.

👩‍💼 2. Automatically synchronize leave requests or personnel data with an HR system

Many companies use tools such as Personio, Sage or DATEV to manage personnel and leave. A lot of data then has to be maintained multiple times, which increases the error rate. Using the CrewBrain API, newly entered data can be automatically synchronized between the systems so that everyone is always up to date.

📊 3. Reporting & evaluation

The use of tools such as PowerBI and other data warehouse systems is also becoming increasingly important in smaller companies. The better you know your data, the more informed decisions you can make. Here too, the CrewBrain API offers a wide range of options for exporting the required data and making it available in your own data warehouse.

🔄 4. Synchronization with third-party systems

Integrations with other systems are also possible via the CrewBrain API. CrewBrain already offers a whole range of ready-made integrations, especially with rental management systems such as IntelliEvent, Easyjob, Flex Rental, HireHop and many more, but from time to time completely different systems are also used in the company’s own operations. If these also have an API or direct access to the database is possible, nothing stands in the way of integration.

Do I need programming skills to use the CrewBrain API?

The short answer: No, not necessarily!

Although the CrewBrain API is a so-called REST API that was originally intended for developers, modern tools make it possible for people without programming knowledge to get started. Many no-code and low-code platforms such as Microsoft Power Automate, Make or Zapier already offer ready-made modules that can be used to create automated processes without technical expertise.

These tools work according to the principle “If X happens, then do Y” – for example:

  • “When a form is filled out, a new job is automatically created in CrewBrain.”
  • “If a leave request is approved, then also enter it in the HR system as an absence.”

All this is done via a graphical user interface with selection menus and input fields – no programming required.

What should you know anyway?

Even if you don’t need a deep technical background, it helps to know a few terms:

  • API key / token: A type of password that you need to connect CrewBrain with other tools. The token must be requested from the API with username & password and can then be used for further requests.
  • Endpoints: These are the “access points” of the API, e.g. for employee data, assignments or absences.
  • JSON format: The data is transmitted in a standardized text format. In most no-code tools, however, you don’t have to write this yourself – many recognize it automatically.

If you are not yet familiar with terms such as “webhook”, ‘POST’ or “query URL” – don’t worry! Most no-code tools explain these points step by step or even come with ready-made templates.

Our tip: Start small – automate big

Even simple automations, such as the automatic entry of website requests or the synchronization of vacation data, save an enormous amount of time and avoid errors. Depending on requirements, more complex processes can be added later or – for larger projects – you can also work with a developer.

Conclusion: The CrewBrain API makes your system flexible and efficient

Whether you are a developer or not, the CrewBrain API offers many ways to automate processes and link information intelligently. Connecting with tools such as Zapier, Power Automate, Make or other cloud services opens up completely new possibilities for simplifying work processes.
